How to Write a Professional Email
Use a Professional Email Address
Avoid using inappropriate email addresses. They are labeled as unprofessional and can potentially disqualify you for a position. It’s a good idea to have your name in your email too.
Stick to a Professional Font
Avoid decorative fonts like Comic Sans or Old English. Use professional fonts like Times New Roman and Arial. Use a legible font size, for example 12-point type, and avoid colors other than black. Also, do not use all uppercase letters.
Use a Short and Accurate Subject Line
Use key works in the subject line so the recipient knows exactly what the email concerns. This prevents overlooked emails, and could possibly add priority to your email.
Use Proper Salutation
Address the recipient by their name with an appropriate title. A proper salutation shows respect for the recipient and maintains professionalism. Refrain from using informal salutations like “Hello” or “Hey.”
Introduce Yourself in the First Paragraph if Necessary
If your email is addressed to someone you don’t know, introduce yourself at the beginning. This establishes a relationship with the recipient.
Prioritize the Most Important Information
Get to the point in your email. Refrain from giving unnecessary facts, because it takes away from the overall purpose. The most important content should be at the top to respect the recipient’s time.
Include any Necessary Attachments
For jobs or applications, you may need to include attachments like resumes or images. The attachments should be located towards the bottom of the email. Also, inform the recipient that you have attachments and what they include.
Proofread your Message
Before sending your email, proofread what you wrote. It only takes a few minutes and can protect you significantly. This prevents silly mistakes that can take away from your professionalism.
